Understand the words and document numbers
Booking and care

Invoices and money
| Word | What it means |

| Draft | Work you can continue editing; saving an invoice draft does not issue it or receive money |
| Invoice | A document explaining the services and amount charged; it may be unpaid |
| Payment | Money actually received, which may pay all or part of an invoice |
| Receipt | A record of money received; different from the invoice explaining the services |
| Remaining for this invoice | The unpaid amount of this particular invoice |
| Patient account balance | The permitted account's balance, which may include several invoices |
| Invoice settlement | The amount of invoice debt paid by a payment; it is not an extra fee |
| Refund | Money returned to the patient; reducing an invoice is not itself a refund |
| Cost estimate | A proposed cost; not an issued invoice or payment |
Saving an invoice draft keeps work for later. Receiving money is a separate reviewed action, and its receipt records the payment.
What do INV, RCT and PT mean?

| PT-00042 | Patient number. Helps identify the patient alongside their name |
Invoice and receipt prefixes can be changed by the clinic. Read the document title as well as its number. In a dental chart, RCT can instead mean root canal treatment; the context matters.
Currency and confirmation
- Original amount: the amount in the currency in which that item or payment was recorded.
- Exchange rate: the recorded conversion used between two currencies. The receipt must distinguish cash received from the amount paid off the invoice.
- Display currency: another way to read amounts; changing it does not change an old debt or payment. An estimate at today's rate is not a missing historical rate.
- Saved on this device, pending confirmation: supported work is saved in the protected device copy; the server has not yet confirmed it.
- Scheduled / queued message: waiting to be sent; it is not proof of delivery. A manual call is a separate follow-up task.
