Materials: buy, use and count

Choose the right action

Open Materials & expenses and find the material.

What happened?Action
You bought stockBuy materials; review received quantity and actual payment
You used material− for the displayed quick quantity, or Other quantity
Stock arrived as a gift or opening balanceMore → Opening stock / gift
A physical count differsMore → Count & correct quantity

A purchase records the reviewed purchase facts. Use reduces stock. A physical count corrects quantity; it is not another purchase or payment.

Record a purchase

Check quantity, unit price, received stock and payment before confirmation. The material's + opens a purchase with it selected. Supplier and extra details are optional. A gift/opening quantity must not invent a purchase payment.

Review Line total as the actual amount for that line. You can enter the exact total and expand Price per to review the unit price. For example, three units costing 1.00 USD should keep a 1.00 USD line total even when the displayed price per unit is rounded. Check pack size and base-unit quantity when buying packs. A previously recorded receipt keeps its saved total; today's catalog price does not replace it.

New material or a template defines the item; it does not create stock or receive money. Suggested selling price, purchase cost and value of remaining stock are different values.

Manufacturer LOT and internal receipt tracking

Field or labelWhat to use
Manufacturer LOTThe manufacturer's actual printed lot number, when known. Leave it empty when unknown; do not invent a batch code.
Internal receipt tracking / Internal trackingSINA's receipt identity for tracked stock without a known LOT. It identifies the saved receipt; it is not a manufacturer's LOT.
Receipt / lotChoose the recorded stock source when using or counting a tracked material. An unknown-LOT receipt can be selected by its internal tracking label.

Enter an actual expiry date when the material requires it. Missing LOT information does not make up an expiry date or remove the expiry requirement. Separate receipts without a known LOT retain their own tracking; their recorded costs can differ.

Correct a count

  1. Select the location and Receipt / lot when applicable; use the internal tracking label if its LOT is unknown.
  2. Enter Actual quantity found, not the difference.
  3. Review the proposed change, tick the review box and save.

Example: recorded 14, physically counted 12 → adjustment −2. Notes are optional. If the balance changed while counting, refresh and count again.

What to expect

Stock use changes quantity and stock value; it does not create another purchase invoice. An offered Undo records a linked reversal using the original movement's quantity and receipt cost. It does not reprice that movement using today's item price. Expired stock cannot be consumed. Changing a material's price does not reprice an earlier receipt. A saved readable archive remains a snapshot of the facts recorded when it was created.

Supported material actions may remain pending on a prepared, authorized device. The selected material, location, necessary stock/cost data and, for tracked stock, the selected receipt must be available on that device. Reconnection alone is not confirmation: review the server result and any conflict before repeating a movement. Posted purchase/payment actions require the server.

If quantities or costs are unavailable, review the page explanation or your access. Do not repeat a movement until its previous result is clear.
