Patients

The Patient directory is the safe entry point for finding or registering a patient. The Patient Record then brings together the sections allowed for the signed-in user without widening clinical or financial access.
Find Before You Register
Search by Arabic or English name, phone number, or the readable patient number. SINA starts searching after two characters and fetches one page at a time from the active organization. The total and visible range above and below the list describe the complete matching set, not only the rows already shown.
Choose a quick view such as All patients, Upcoming appointments, or a permitted operational queue such as Follow-up due, Safety review, or Balance due. Each choice applies immediately; record status independently switches between Active, All statuses, and Archived. Only filters allowed by the signed-in user's permissions appear. Removable chips summarize non-default choices, and Clear filters restores the active-patient list.
On desktop, the table keeps identity, record status, age and gender together, then shows contact details, permitted care alerts, the actual record-update date, and actions. It does not label a data edit as a clinical visit. On a phone, the same permitted information becomes compact cards with the main actions kept within thumb reach. A visible row or card does not grant additional clinical or financial access.
Use the numbered page controls or Previous and Next to move through the directory. Rows per page offers 10, 25, 50, or 100 patients; the selected size is remembered on that device. Changing the search, a filter, or the page size returns to page 1. Search, filters, page number, and page size are also stored in the page address, so refresh and browser Back/Forward preserve the working view.
Permitted actions for each patient are:
- Open record;
- New appointment;
- Patient account.
When no row matches, clear the search or remove a filter rather than registering a duplicate patient. Choose New patient only after reviewing the results.
Register A Patient
Choose New patient only after reviewing the search results. The form asks for a minimal identity:
- full name;
- date of birth or usable phone number as an identity anchor;
- optional email and gender.
Address, medical history, medication, dental history, billing, and long notes are not required for the first record. Opening or typing in the form creates nothing. Add and open dental chart saves explicitly, and only a successful response opens the new Patient Record.
When registration starts inside an unsaved Appointment or walk-in workflow, the selected patient returns to that draft. SINA does not silently create an Appointment, queue entry, Visit, invoice, payment, or message.
Duplicate And Shared-Contact Review
Before creation, SINA checks candidates inside the active organization using normalized identity signals. Staff can open an existing record or return to the draft without creating anything. Records are never merged automatically. A separate record after a shared-contact warning requires an explicit decision and remains auditable.
Patient Record
The compact header keeps the patient name, readable number, contact context, and important safety notices visible. Its permitted shortcuts print the record, open an unsaved appointment, or edit identity details. Opening a shortcut does not save a downstream record.
The current record has three focused sections:
- Teeth is the primary dental chart. Authorized clinicians select a tooth and location, prepare a finding or performed procedure, review the draft, and save explicitly.
- History combines persisted visits, chart activity, attachments, and the medical-information editor.
- Account appears only with financial read permission and shows invoice and open-balance context.
The selected section is stored in the page address. A user without permission for a linked section is returned to a permitted section without seeing its data.
Medical history distinguishes Not recorded, None known, Active, Historical, and Needs verification. An empty field never becomes a false green “none known” state. Closing an editor with meaningful unsaved changes requires an explicit discard decision.
Safety Boundaries
- Search and all patient requests remain organization-scoped on the backend.
- A valid empty result is different from a failed request.
- Stale edits are rejected instead of overwriting a newer saved version.
- A diagnosis or vital-sign entry may reference only a Visit for the same organization and patient.
- Retrying the same registration request returns the same patient instead of silently creating a duplicate.
- Unsaved browser drafts are local and may be lost on refresh.
SINA does not provide patient self-registration, automatic record merging, external identity certification, OCR diagnosis, or medication-interaction advice.
